About CRM Backup and Restore

Many small businesses overlook data backups assuming their business system is being backed up by the systems they use; only discovering when something fails that they did not backup the information they needed to recover.

CRM backup and restore covers two things: taking an independent copy of your business data, and being able to get it back when you need it.

Cloud systems protect you from their own hardware and platform failures. They don't protect you from an accidental deletion, a bad import or an integration that misfires. That gap is where independent backups matter.

I run CRM SafeKeep, a backup and monitoring service for UK small businesses. Your data is backed up and checked daily.

What I offer

There are two levels of backup service, depending on how much you want handled.

CRM SafeKeep Monitor: is the monitored backup service.

Your business system data is copied and checked every day, and you're told where it stands without having to go looking.

CRM Safekeep Managed: is the backup service with included restore.

The managed service covers everything in CRM SafeKeep Monitor and adds included hands-on restore help: I carry out restores for you as part of the service.

Systems covered: -
  • CRM and ERP: Zoho, HubSpot, Pipedrive, Sage X3, NetSuite
  • Accounts: Xero, QuickBooks, Sage Accounting
  • Other business tools: Freshdesk, Mailchimp, BigCommerce
  • Websites and ecommerce platforms

Who is CRM Backup and Restore for?

This is for small businesses whose customer records, orders and financial data live inside cloud software — and who have never tested whether they could get that data back.

It fits if you run a CRM, ERP or accounts system and have assumed the vendor/provider handles backups. Or if you've had a near miss: a bad import, a deletion, an integration that misfired. Or if several systems hold customer data and nobody has mapped where it all sits.

It also fits if you don't want another dashboard to log into. You want to be told it's working, by a named person you can call.

I work with Zoho, HubSpot, Pipedrive, Sage X3, NetSuite, Xero, QuickBooks, Sage Accounting, Freshdesk, Mailchimp and BigCommerce, plus websites and ecommerce platforms.

Using something else? The approach is the same — I review its export and backup options and agree a safe backup and restore route.

Benefits of CRM Backup and Restore

What CRM backup and restore gives you:

  • You can recover from your own mistakes, not just your provider's outages.
  • No new dashboard to learn and no monitoring for you to do.

Frequently Asked Backup Questions

Why do I need backups if my CRM/ERP is in the cloud?

Cloud CRMs protect against their own hardware and platform failures, but they don’t always protect you from your own mistakes. Accidental deletions, bad imports, rogue integrations or disgruntled users can still remove data, so independent backups give you a way to recover quickly.

How often should my CRM or ERP be backed up?

For most small businesses, daily automated backups are a good starting point, with more frequent backups for especially critical data. The key is to store backups separately from your main system, encrypt them, and test restores regularly so you know they actually work. For more high frequency data such as online orders data backup should be adapted to match.

What is a CRM/ERP backup audit?

A CRM/ERP backup audit is a structured review of how your business data is currently protected. It checks which systems you use, what backups exist, how often they run, where they are stored, and how quickly you could restore critical records if something goes wrong.

What if we have multiple systems to back up?

I work with popular platforms including Zoho, HubSpot, Pipedrive, Sage X3 and NetSuite, as well as related tools such as Xero, Sage and QuickBooks. Also websites and ecommerce. If you use a different system, the approach is the same, I review its export and backup options and recommend a safe approach.

Which platforms do you support for CRM/ERP backups?

Many businesses run several systems side by side, such as a CRM, accounting tool, helpdesk and project management app. In a technical backup audit, I can map where customer and business data is stored across these tools, then design a simple, joined‑up backup approach so nothing important is missed. This is where your data quality and a data inventory are key.
