Your CRM/ERP data backed up, protected and recoverable.

Daily backups for Zoho, HubSpot, Pipedrive, Sage X3, NetSuite and other systems, because accidents do happen and your customer data matters.

How to back up your CRM or ERP safely

Three simple steps to get reliable, tested backups in place for Zoho, HubSpot, Pipedrive, Sage X3, NetSuite and other systems.

1. Check Your Backups

You complete a short online form so we can see what’s currently backed up and where the gaps are. I then review your answers and send you a simple backup risk summary with more information on a technical checkup approach.

2. Connect your CRM

Following an audit, connect your CRM for regular and automated backups. If you want help fixing gaps, I design and configure a backup and restore setup for your specific CRM/ERP, saving data to a secure external cloud location and run the first test backup and restore.

3. Manage Backups

Manage your backups and have regular restore reviews. I can help monitor your backups and help with restores when/if something goes wrong, so you’re not scrambling to recover deleted or overwritten records on your own.

What my CRM or ERP backup and restore service includes

My CRM SafeKeep service gives you independent, encrypted backups, with active monitoring by someone who will help you sort the data recovery if something goes wrong.

My plans include:

    • Regular automated data backups: Your data is backed up every 24 hours or as agreed to independent encrypted cloud storage, completely separate from your CRM or ERP platform's own infrastructure.
    • Regular manual file backups: Files attached to CRM systems often need a manual backup or alternative approach.
    • Proactive monitoring and alerts: Every backup run is checked. If it fails, drops unexpectedly in size, or shows anything unusual, my team is on it and you're notified if its critical or forms part of your notifications.
    • Regular restore tests: Once a month or as agreed, we verify that your backup (or agreed critical modules/areas) can actually be recovered.
    • Point-in-time data recovery: Restore to any date within your retention window — not just the most recent backup. Whether you need to go back two days or two months, you're not limited to whatever state the system was in yesterday, only to your retention window.
    • Partial and record-level restores: You don't always need to roll everything back. We can recover specific records, contacts, deals or datasets without touching the rest of your live data.
    • Regular backup summary: A brief plain-English summary of your backup health — last run, data size, overall status. No dashboard to log into.
    • GDPR-compliant data handling: All backups are held in compliance with UK data protection requirements.
    • Direct, personal support - someone to rely on: You deal with one person who knows your setup.

Monitoring and restore plans from £59/month plus £99 setup fee.
Plan level depends on the size, complexity and frequency of your backup needs. Start with the free 2-minute check if you're unsure.

Why do I need backups if my CRM is in the cloud?

Cloud CRMs protect against their own hardware and platform failures, but they don’t always protect you from your own mistakes. Accidental deletions, bad imports, rogue integrations or disgruntled users can still remove data, so independent backups give you a way to recover quickly.

How does your “Check your backups” audit work?

You start by answering a short online form about your backup. I review your answers and send you a simple risk summary, and you can then choose an optional technical check‑up where I inspect settings or you can follow my Part 2 Technical Backup Checklist  in your own systems

How often should my CRM or ERP be backed up?

For most small businesses, daily automated backups are a good starting point, with more frequent backups for especially critical data. The key is to store backups separately from your main system, encrypt them, and test restores regularly so you know they actually work. For more high frequency data such as online orders data backup would be adapated to match.

What is a CRM/ERP backup audit?

A CRM/ERP backup audit is a structured review of how your business data is currently protected. It checks which systems you use, what backups exist, how often they run, where they are stored, and how quickly you could restore critical records if something goes wrong.

Which platforms do you support for CRM/ERP backups?

I work with popular platforms including Zoho, HubSpot, Pipedrive, Sage X3 and NetSuite, as well as related tools such as Xero, Sage and QuickBooks. Also website sand ecommerce. If you use a different system, the approach is the same, we review its export and backup options and recommend a safe approach.

What if we have multiple systems to back up?

Many businesses run several systems side by side, such as a CRM, accounting tool, helpdesk and project management app. In a technical backup audit, I can map where customer and business data is stored across these tools, then design a simple, joined‑up backup approach so nothing important is missed. This is where your data quality and a data inventory are key.
